Purpose

Provide exceptional, administrative support to the faculty, staff, and various stakeholders of a large academic department pursuing excellence in political science teaching and research.

Responsibilities
  • Operational Support: Process, manage, and follow through on approval vouchers (including travel, reimbursement, purchasing, entertainment or other vouchers); payments for POs and contracts; ProCard transfers, FedEx e-billing payment vouchers, and visiting appointments as requested

  • Graduate Program Support:Assist Director of Graduate Admissions & Placement with graduate placement tasks: process graduate placement files, manage Interfolio requests, and work with students and placement director on job candidate needs.

  • Office Support and Supply Management:Manage department FedEx account; order and store shipping supplies; assist faculty and staff with shipping and other tasks; support and service special projects; support staff colleagues and routine office needs

  • Other related functions as assigned.

Required Qualifications

A minimum of 5 years of clerical experience with a high school diploma or GED; or a minimum of 1 year of administrative assistant experience with a bachelor's degree. Knowledge of general office practices and administrative procedures. Strong organization as well as verbal and written communication skills. Ability to manage and prioritize a variety of tasks. Ability to use standard office equipment and software (including Microsoft Office). Adheres to a high degree of accuracy with strong attention to details.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Previous experience working in a high-volume campus department or unit. Understanding of and experience navigating and enforcing the university's Handbook of Business Procedures. Prior experience working with voucher processing (including reimbursements, entertainment vouchers and OOEFs, travel vouchers, ProCard vouchers, and transfers). Experience with FRMS and DEFINE. Ability to prioritize work and balance competing demands. Flexibility and ability to adapt and collaborate with team members to meet shifting business demands. Commitment to enhancing department, college, and university missions through administrative service.

Salary Range

$45,000 + depending on qualifications
