Rate of Pay:



This position is a grade 11 with a minimum of $35,775 and a mid-point of $47,700. Salary offer will be commensurate with the education/experience, in alignment with the College's compensation philosophy, and the current CBA, if applicable.

Job Summary:



An employee in this classification performs work of routine difficulty by documenting all keys issued throughout the College. Work involves maintaining electronic door locking system to ensure doors are in working order and schedules are set according to department and building schedules. General supervision is received by the assigned manager.



Required Knowledge, Skills & Abilities:




  1. High School diploma or equivalent required. Associates Degree (AA) or equivalent from two-year college or technical school preferred or equivalent combination of training and experience.
  2. Three to five years of customer service experience.
  3. Ability to learn key system hierarchy and the ability to determine usage of keys necessary for individual's position while acknowledging the location's importance and security.
  4. Ability to troubleshoot problems with system and work with appropriate staff to resolve them.
  5. Considerable skill in the use of the Microsoft Office Suite, including but not limited to Word, Excel, Access and Publisher.
  6. Considerable skill in organizing work to meet established deadlines while maintaining attention to detail.
  7. Working skill in interpersonal interaction to be applied to a variety of individuals with differing education, ethnic and socio-economic backgrounds.
  8. Working skill in verbal and written communication.
  9. Must be available to work a flexible schedule, including evenings and weekends when required by the department's needs.

Essential Duties:




  1. Coordinate and maintain computerized key system which includes identifying, assigning, coding, issuing and retrieving of all college keys when employee's status or locations change, while exercising security measures, accountability and confidentiality
  2. Provide customer service for all departmental requests and walk-ins for services in housekeeping, HVAC, grounds hazardous communication, etc., and follow up requests as assigned by Senior Director of Facilities, Managers of Custodial Services and Director Building Services Grounds and Switchboard, Manager of Building Operations.
  3. Coordinate with Assistant Vice President of Finance and Director of Business & Finance Systems to create accurate Resource Allocation and management Plan (RAMP) Land & Parking Lot Summary, and Facility File reports. Specific responsibilities for ICCB reporting annually.
  4. Backup administrative assistant as requested.
  5. Process budget transfers for internal departments and external customers who rent O/M vehicles and send to managers for approval
  6. Assist Operations Project Manager in updating college maps, building floor plans, including the locations of all rooms, fire extinguishers, severe weather shelters, campus phones, AED locations, building entrances, and emergency exits. Assist Operations Project Manager when information is needed for signage requests
  7. Maintains required training, licensure and/or certifications
  8. Maintain confidentiality of privileged information and adheres to applicable privacy laws
  9. Demonstrates sensitivity, understanding and respect of diverse populations within the workplace.
  10. Maintains an understanding of the work of colleagues to effectively provide backup and/or support for co-workers during times when the division is short-staffed or experiencing an increased volume of work.
  11. Adheres to department guidelines for attendance and punctuality



Other Duties:




  1. Assist faculty members and other employees with various clerical tasks (e.g. assembling materials for committee meetings).
  2. Perform other job-related duties as assigned which pertain to the job description.
  3. Ability to work a flexible schedule which includes days/evenings/weekends as needed by the department.
