Sr Academic Program Coordinator

We are seeking a Sr. Academic Program Coordinator who will be reporting to the Director of Student Affairs, this role supports the development and execution of key projects in the office of Student Affairs. This role supports the Director of Student Affairs in the technological, communication, marketing, and program development aspects within the School of Nursing (SON). This position plays a crucial role in enhancing the Student Affairs mission through innovative outreach and efficient process management.

*Hours Limited/Casual (26 hrs. weekly), Monday, Tuesday, Wednesday, and Friday on site at SON- with the necessity to work some nights and weekends during critical processes or events.

Specific Duties & Responsibilities

Technological Support

  • Design and maintain communications using Canva, Mail Merge, Mail Chimp, Microsoft Forms, and Hopkins Groups.


Communication & Marketing

  • Execute effective communication and marketing strategies.
  • Manage and send e-newsletters and updates through MailChimp.
  • Develop promotional materials and manage bulletin boards and digital communications.


Outreach & Mission Advocacy

  • Represent Student Affairs at University and SON events.
  • Prepare presentation slides and communication.


Program Development

  • Innovate and expand programming catering to diverse student groups including DNPs, MSN, HOL, First Gen, Orientation, Peer Navigator Initiative, and cultural organizations.

Process Management

  • Streamline and document processes and standard operating procedures (SOPs).

Event Planning

  • Master and manage the SON Annual Calendar of events, past and forward-looking.
  • Assist in the development and coordination of Student Affairs events.

Student Organization Support

  • Assist and support student organizations in planning events, submitting documentation, completing forms.
  • Transition student organizations to appropriate platforms, update information, and facilitate communications.

Additional Duties

  • Assist in transitioning the student organizations to the Hopkins Groups and Live25 platforms; registers new student organizations and reviews and monitors requests; updates student leader information and communicates with student groups within the Hopkins Groups platform; helps to confirm reservations for student organizations using Live25 software.
  • Checks the Student Affairs general email inbox daily and responds to students' questions within 24 hours.
  • Other duties as assigned.

  • Excellent customer service and communication skills both oral and verbal communication.
  • Excellent organizational skills.
  • High energy, confidence, professionalism, ability to handle multiple tasks, work independently and part of a team, take initiatives, and resolve problems.
  • Excellent time management skills, ability to meet deadlines, and work on flexible schedules. Handle confidential information appropriately.
  • Proficiency with Microsoft Office Suite, Adobe Creative Suite (Illustrator, InDesign, and Photoshop), social media apps, Canva, and other relevant software.
  • Proven administrative experience with a strong emphasis on technology and data management.
  • Must be able to learn new programs quickly and adapt to change.
  • Must be able to work in a fast-paced student-friendly environment, and support the philosophy of excellent customer service, and diversity & inclusion.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible administrative/academic experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor's Degree preferred.
  • Previous experience in a higher education environment preferred.
  • Experience in event planning and student affairs is preferred.
  • Experience with website content management and graphic/web design software.

Role/Level/Range: ATO 37.5/03/OF
Starting Salary Range: $21.00 - $36.50 HRLY ($28,376.25 targeted; Commensurate with experience)
Employee group: Limited
Schedule: Monday-Wednesday & Friday 10:00-5:00 (some nights & weekends)
