Seneca Global Services is seeking two Operations Coordinators to join us in support of our government client, the Defense Health Agency. This position is on-site in Falls Church, VA.

The Operations Coordinator is responsible for scheduling events in the DHHQ Pavilion and the DHHQ Executive Conference Room. This personnel shall have meeting support staff onsite 1 hour prior to the start time of a meeting and shall meet with event POCs to confirm requirements to include, AV/IT support and other logistical support. This person will work with Deputy Assistant Director (DAD) Information Operations (IO) IT contractor support personnel to ensure the in-room audio systems, podiums, and handheld or lavaliere microphones are properly working for meetings, seminars, symposiums, conferences, and other major events.

Responsibilities include:



  • Collect data that captures, and documents utilization of the non-DAD assigned to the DHHQ Executive Conference room and the DHHQ Pavilion.
  • Be familiar with scheduling software to be able to train other staff support
  • Manage onsite conference room scheduling system - Cisco Telepresence Management Suite (TMS), provided by the Government
  • DHHQ Pavilion and DHHQ Executive Conference Room availability and reservations inquiries may be made over the phone, in person or via email; all reservations must be finalized via email, signed request form DHHQ Form 07. Conference rooms will be scheduled 24 hours in advance and the DHHQ Pavilion will be scheduled approximately 5 calendar days in advance of the meeting, conference, or event date
  • Contractor shall be responsible for the operation of the meeting scheduling system
  • Provide customer assistance as needed (i.e., troubleshooting AV issues or other general service issues)



Minimum Qualifications



  • High School Diploma
  • US Citizen with ability to obtain Public Trust clearance
