Position Description

The Executive Assistant (EA) is responsible for a wide range of critical duties and will act as an enabler in achieving the goals of the Bank by ensuring that the executive leadership team can maximize their time and efforts on the most high-value areas. This position will provide complex and proactive assistance to an executive and the corresponding department and takes the initiative to solve problems independently. The EA will represent the executive and act as the key go-to person to optimize the focus and effectiveness of the leadership team, while also serving as the main interface with stakeholders, constituents, associates, vendors and community leaders on behalf of the executive. The EA will also perform routine administrative and logistical duties such as calendar / schedule management, answering phone calls and written / email correspondence, filing, copying, faxing, travel arrangements and expense reports.

Principal Accountabilities:
Represent the executive and the Bank in a professional manner when dealing with associates, customers, the board of directors and other senior leaders. Be proactive in anticipating the senior executive’s needs and solving challenges before they escalate. Maintain an in-depth knowledge of company operations, policies and procedures. Effectively manage the details of highly confidential and critical projects to the Bank and provide support on the implementation of business solutions.

Provide financial and business data management for specified area. Coordinate special projects and compile information and complete moderately complex reports. Utilize various reports to interpret and summarize key financials, results, trends and other data as needed. Act as an information source on departmental / organization policies and procedures.

Provide complex assistance and support to the executive by managing their calendar on a daily and weekly basis to ensure focus on the highest priority and impact areas; write, track and maintain correspondence; arrange luncheons, meetings and other events; answer, screen, route and/or respond to calls; plan and organize travel with detailed itineraries, preparations, etc. while maintaining a high degree of confidentiality and discretion in regards to all matters and documents.

Perform routine administrative and logistical duties like answering calls and correspondence, filing, copying, scanning, faxing, etc.

**This position will move from Roseville to the Sierra Oaks area in Sacramento in the next year.**

Position Requirements

Basic Qualifications:
Associate Degree with a minimum of 6 years of advanced administrative experience
-OR-
High School Diploma or GED with a minimum of 8 years of advanced administrative experience.

Additional Requirements:
Maintain a high degree of confidentiality and discretion in regards to all matters and documents.
Ability to prioritize your work, multitask and meet deadlines in a fast-paced environment.
Capability to exercise independent judgement and decision making while maintaining a high attention to detail.
Capability to work independently with minimal supervision and display ingenuity in anticipating and handling situations that may arise.
Ability to create presentations.
Advanced proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
Ability to interact with all associates across the organization.
Detail oriented.
Ability to multi-task and prioritize various responsibilities on a daily basis with minimal supervisory input.
Be responsive to executives needs with a high sense of urgency.
Effective written and verbal communication skills.
